How to hire a caterer

A caterer plans, cooks and serves food for an event — where allergies, service style and what is actually included beyond the food cause most of the surprises.

Common questions

What is included in a per-person catering price?

It varies enormously — some include staff, rentals, linens and service charge, and some are food only. Ask for an itemised quote, because a lower per-head figure with everything added separately often ends up higher.

How do caterers handle food allergies?

A professional caterer asks about allergies in advance, plans separate preparation to avoid cross-contamination, and labels dishes at the event. Vague reassurance is not an answer — ask specifically how a severe allergy would be handled in their kitchen and on the service line.

When do I need to give a final headcount?

Typically a set number of days before the event, written into the contract, and you generally pay for that number whether or not everyone attends. Check the deadline and whether the count can go up afterwards.

How does Region Beacon work for caterers?

You describe the job once. The first nearby business that takes it gets your details and contacts you; nobody else does. You deal with whoever you pick directly, and you pay them directly — Region Beacon never handles the money and takes no commission, so nothing is added to your price for using it.

How do I know if a caterer's quote is fair?

Get more than one. A single quote tells you what one business charges; three tell you what the job is worth where you live. Ask each for the same scope in writing, and treat a quote far below the others as probably missing something rather than a bargain.

Describe the job once and the first nearby business to take it contacts you. Only that one gets your details, no commission is added, and your details are not sold on to anyone.
